Operations Account Coordinator

Job summary:

Assist the VP of Operations by managing major online customer accounts and providing customer service to the appointed accounts.  This person will be the retail account customer advocate for all assigned accounts and responsible for all account set up, on-going account maintenance, and purchase order management by making sure they are processed, shipped and invoiced in a timely and cost effective manner.

Essential Duties and Responsibilities:

(Responsibilities include but not limited to the following)

  • Work closely with the sales and accounting departments, collaborate with the Sales Account Manager on accounts as assigned.Tasks may include, but not limited to, Vendor Set Up, Product Set Up, SKU assignment, etc.
  • Receive purchase orders and verify that they are in compliance with internal specifications before they are shipped.
  • Collaborate with the Account Coordinator in efforts to support accounts as assigned.
  • Submit retail purchase orders to the fulfillment warehouse.Coordinate with the warehouse re. All matters related to the shipping and status of all orders.
  • Research and present resolutions to barriers that prevent a purchase order from shipping complete and/or in a timely manner.
  • Prepare reports that outline the status of all orders e.g. quantity of orders, open orders, back orders, and cancelled orders.
  • Communicate with the warehouse to effectively route orders via the method required (comply with vendor and internal requirements).
  • Communicate the inventory needs of all assigned  accounts to the VP of Operations to ensure careful inventory forecasting and accurate procurement.
  • Support and collaborate with the Accounting Department in timely billing of accounts.
  • Other duties may be assigned as business needs change and grow.

Language Proficiency -  Ability to write reports, business correspondence, and procedure manuals along with the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Basic Math Skills - The ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

Reasoning Ability - Must possess the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills- Basic level of computer skills are essential to perform this job successfully and more advanced skills will be helpful.  An individual should have knowledge of Word Processing, Spreadsheet (Excel), and Internet software. 

Additional Skills - This position requires excellent knowledge of Microsoft Word and Excel.  Excellent basic math skills and the ability move a project from concept to reality are also required.  Exposure to basic programming (or database administration) a plus.  Experience in inventory forecasting or analysis a plus.

Bachelor's degree from four-year College or University and one to two years related experience and/or training; or equivalent combination of education and experience.

Work Environment:

Standard professional office environment with minimum noise.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to sit in front of a computer, and engage in discussions (both talking and hearing).  In addition, the job requires occasional lifting of boxes weighting 10-25 lbs. The employee is rarely required to climb or balance; stoop, kneel or crouch.
